The Volunteer Services Manager is responsible for recruiting, training, scheduling, supervising, and evaluating all volunteers; ensuring volunteers receive appropriate training to remain competent and compliant in their positions, including compliance with agency/volunteer policies and procedures.
This position is also responsible for the management of all volunteer programs, including the assessment of existing services and their effectiveness in meeting the changing needs of patients/families/ facilities and the creation and implementation of new programs and services as needed to consistently improve the integration and utilization of volunteers in the agency's operations and services.
Training:
Orientation to Hospice, Home Health, Inpatient and Palliative Care services and any other training that may be necessary to complete the assigned duties.

Qualifications:
Associate degree in business or Bachelor's degree in social work from a school of social work, human resources, psychology, sociology or other business field preferred.
Ability to manage, direct, motivate and develop volunteer human resources.
Must possess excellent interpersonal skills.
Must possess excellent communication skills.
Must possess the ability to develop positive working relationships with all members of the hospice interdisciplinary team.
Must possess the ability to research and design effective volunteer recruitment, training and retention strategies, and the capacity to implement same.
Knowledge of the role of hospice volunteers and the ability to recruit, orient, train, and supervisor volunteers must be demonstrated by prior experience.
Knowledge of the process of terminal illness and the Hospice concept is required.
Working knowledge of Microsoft Office products required.
Experience with electronic medical records preferred.
Must possess the ability to coordinate and organize special events specific to volunteers.
Must possess experience in public speaking.
Must be able to interact with patients, family members, visitors, co-workers, and medical staff under a variety of circumstances.
Regular, reliable attendance is essential.
Maintains current unrestricted North Carolina driver's license and maintain minimum automobile liability insurance for the duration of employment.
Available for travel in personal vehicle inside and outside of North Carolina.
Available for night and weekend duty when appropriate.
Must be current in health requirements of North Carolina and Hospice of Davidson County.
Areas of Responsibility/Accountability:
Volunteer Services:
Ensures that patients/families and hospice programs receive reliable, quality services from volunteers and that these services are in compliance with the agency's policies and procedures and current Hospice standards.
Develops and implements innovative programs to recruit, train, retain and recognize volunteers (all categories:
administrative, patient/family, pet therapists, music therapist, equine therapists, professional volunteers, etc.
).
Schedules and conducts volunteer training/orientation.
Directs assignment of volunteers to service by careful screening and additional training specific to the assigned role.
Plans and coordinates volunteer in-service classes, special events, and other on-going education and training focused specifically on assigned areas.
Ensures volunteers are meeting required education hours.
Ensures a performance evaluation and supervisory visit as applicable is performed on each volunteer annually.
Acknowledges volunteer efforts and provides support, encouragement, and ongoing communication through various media (calls, emails, note cards, volunteer support group, volunteer newsletter).
Supports Community Relations Department with regard to organizing/assigning volunteers to staff community events, information fairs and other events that promote hospice knowledge in the community.
Ensures that all office, community and fundraising volunteers are provided with the guidelines and support needed to successfully manage a project.
Collaborates with the Community Relations Director to develop marketing strategies and materials to promote hospice involvement.
Makes public presentations to recruit, educate and inform about the volunteer program.
Patient/Family Care - Clinical Team Collaboration:
Ensures continuity of care to patients/families by effectively collaborating and communicating with IDT members and the patient/family/caregivers as needed.
Assures that the input and observations of patient care volunteers are taken into consideration by other IDT members as part of the plan of care when appropriate.
Manages clinical team meetings with regard to volunteers as needed and actively participates in discussions related to patient care.
Collaborates with members of the interdisciplinary team regarding volunteer assignments to assure continuity of care.
Attends regularly scheduled IDT and CR meetings.
Informs the HR Director or designee of potentially problematic volunteer issues and assists as needed in solving problems related to patient/family volunteers.
Manages assignment of volunteers to patients/families on a priority need and compatibility basis to be assured of successful assignments.
Assists in the introduction of the volunteer(s) to the patient/family.
Follows up with all patient/families to ensure that the assigned volunteer meets their needs.
Maintains a cooperative and collaborative relationship with all Hospice personnel that facilitates a positive practice environment and interdisciplinary philosophy of services to families.
Represents Hospice of Davidson County to all internal and external customers with integrity and professionalism.
Attends clinical meetings, leadership/manager/supervisor meetings and meetings with the Chief Clinical Officer as scheduled/as needed.
Documentation, Communication and Records:
Ensures that patient care volunteer documentation is clear, complete and complies with the agency's policies/procedures, federal and state regulations, current Hospice standards, and continuing quality improvement.
Obtains patient care volunteer forms/notes from volunteers on a timely basis and assures these are completed correctly for entry into the electronic medical record.
Assures that other required volunteer documentation is correct and submitted in a timely manner.
Ensures that volunteer patient care and qualifying administrative support volunteer hours account for at least 5 percent of the total care provided by paid staff.
Contingent upon status of Professional Volunteer Program, collaborates with Clinical Leadership to develop a plan for measuring and evaluating quality assurance and patient/customer satisfaction.
Ensures that all volunteers understand and comply with the rules and policies relating to patient/family confidentiality.
Maintains up-to-date records on all volunteers.
Maintains record of volunteer attendance at in-services, support groups and other special events.
Assures that volunteer activities are in compliance with hospice standards.
Develops and manages public information notifying the community of volunteer trainings and volunteer opportunities on an on-going basis.
Ensures volunteer credentials are up-to-date (auto insurance, TB and flu vaccinations, licenses of professional volunteers).
Produces productivity, statistical, QAPI and other reports useful in measuring goals and in goal planning.
Documents services and expenditures for reimbursement purposes.
Personal and Professional Growth:
Enhances professional knowledge, attains job satisfaction, personal growth and sense of well-being by actively participating in a variety of IDT and professional educational activities.
Attends staff meetings provided by the agency to enhance knowledge of hospice care.
Provides the Chief Clinical Officer feedback concerning timely topics for education and discussion.
Presents Volunteer Program status report at QAPI and other agency meetings.
Attends outside hospice organization meetings and events.
Identifies personal education needs, seeks formal programs, participates in professional educational activities or seeks other avenues (reading articles/books, etc.
) to meet these needs.
Meets regularly with agency staff to review problems or unique issues from cases, shares professional support and exchanges feedback aimed at enhancing professional growth.
Participates with colleagues/IDT members in identification and discussion of ethical conflicts which arise in caring for terminal patients and their families.
Participates in hospice sponsored in-service training.
Completes required in-services on an annual basis:

Participates in annual policy review and develops new policies and procedures in response to changes in the regulatory environment or as mandated by governing bodies.

This position is classified as exempt.
Usual working hours are 8 am to 5 pm, Monday through Friday, or as needed to perform duties.
