Quick Apply Full-time 6 hours ago Full Job Description Job Description Role Overview The Marketing and Finance Assistant is responsible for working with the Director of Business Operations who oversees the day-to-day fiscal operations at Davidson Charter Academy and works as part of the school's Administrative Team to set strategic goals for the future.
The Marketing and Finance Assistant must be well-versed in all business matters and be a competent leader able to provide guidance that enhances performance in a manner that incorporates the school's mission and culture.
The Marketing and Finance Assistant's primary focus is to oversee the school's marketing and growth for long-term success.
The Marketing and Finance Assistant performs complex data analysis, handles financial tasks and reporting, and works well independently, as well as on a team.
Essential Responsibilities The Marketing and Finance Assistant strives to ensure that existing resources are used efficiently, while identifying resources that are needed and prioritizing expenses.
Whenever possible, the Marketing and Finance Assistant looks for ways to reduce operating costs.
The Marketing and Finance Assistant is responsible for overseeing the facilities and grounds, ensuring that they are maintained in accordance with state and local laws to ensure the safety and well-being of all students and staff.
The Marketing and Finance Assistant coordinates and helps to supervise the work of the Facilities, Front Office, Health, and Safety Departments to support the needs of students and staff.
Duties/Responsibilities Leadership / Administration Meets regularly with the Director of Business Operations and/or the school's Administrative team to determine how best to meet supplies, services, and personnel needs within budgetary constraints Shares leadership skills and knowledge with other staff members during regular department and faculty meetings Provides regular professional development and briefings to school staff and leadership regarding business processes and procedures Serves as a point of reference on inquiries and problems associated with the business operations of the school Promotes an internal organization that permits transparent, open communication - up and down Works to produce smooth day-to-day internal operations Administers rules and procedures in the Student Handbook and Employee Handbook Marketing/School Image Markets the school via the website and other social media platforms Prepares communication materials for distribution to current and prospective families, vendors, and staff Designs marketing ads for digital and print campaigns Creates graphics to promote the school and ensures consistent branding Maintains a positive relationship with community leaders Provides personal communication to current and prospective families Fiscal Accountability and Compliance Identifies areas where the school can engage in cost savings, and proposes recommendations on how to implement identified cost savings Implements documented procedures to support the financial processes within the school, and revises as needed to ensure continued effectiveness Assists with collection of fees including lunches, field trips, yearbooks, fundraisers, etc.
Partners with the Administrative Team and/or Board on any projects where the school is seeking to obtain additional funding outside the existing revenue stream.
Produces all required financial reports to support grant applications, fundraising efforts and/or documentation needed for any regulatory bodies Provides a cost analysis of any new programs proposed by the Administrative Team or Board Manages all aspects of free and reduced lunch program, including managing the application process Maintains records of various school funds and funding sources Maintains files as additional backup on financial matters as assigned Coordinates the submission of requests and collection of information/payments from internal and external groups to use the school facilities Fundraising Participates actively in planning for all fundraising efforts Actively supports, engages in, and encourages the school's fundraising efforts Assists in the fundraising efforts by articulating in many different settings the school's unique vision and the value of the goals for which funds are being raised School Operations Directs, organizes, and assists with supervision of the work of the school's Facilities, Front Office, Health, and Safety Departments Receives and distributes supplies, materials, and equipment Maintains vendor relationships and seeks out bids when necessary Acts as a liaison between school staff and the community, including, but not limited to Site Services (security, food services, facilities maintenance, and copy services), Finance, Accounting, Human Resources, Technology, Insurance, Sponsored Programs, Health Services, and Academics Assists with reporting any workers compensation, property, or liability claims to the appropriate parties Human Resources Participates in interviews, reference checks, and background checks for prospective employees Works with the Administrative Team to maintain and update the Employee Handbook Works with the Administrative Team to provide new hire orientation to all incoming staff members focusing on school and state policies and benefits Assists with the onboarding process for new employees regarding payroll and benefits Maintains all employment records in a confidential manner Assists with HR and benefits administration for staff, including, but not limited to disability claims, benefit changes, leave balances, unemployment claims, employment verifications, etc.
Maintains personal contact with all school staff members - fostering good public relations, promoting high morale, and identifying personnel problems as early as possible Observes, coaches, and provides meaningful feedback to team members throughout the school year Collaborates with the Administrative Team on sensitive personnel matters Facilities and Grounds Maintains files of all safety and security plans for students and staff Ensures that the school complies with all state codes - health, fire marshal, etc.
